Q. What is the best way to find the WebSMART web page?
A. Either go to:
- https://websmart.smccd.edu direct WebSMART link or
- http://smcweb.smccd.net/portal (the District Portal page) and select WebSMART (second item in far left column)
- your college home page and find the WebSMART link
Q. What is my User ID?
A. It is your social security number (do not use hyphens) or your *G0000000 number.
*G Number - Effective January 1st, 2004: To better ensure the confidentiality of your Social Security Number, the San Mateo County Community College District has implemented a new User Identification Number. This number does not replace your Social Security Number as an identification number in the College records and Financial Aid requirements, but it provides us with an alternate unique number to use for reporting, correspondence with you, and for accessing your records within the Colleges' Student Information System. New User Identification numbers were mailed to SMCCD staff in January of 2004.
After January 1st you may still use your Social Security Number for all transactions with the Colleges, or you may begin to use your new User ID. Faculty and Staff can use either number to access records, but only the User ID will display on the computer screens, attendance collection systems, grade rosters, and reports. The new User Identification Number will be a unique number beginning with the letter "G" and an additional eight (8) digits.
Q. What is my PIN (Personal Identification Number)?
A. Unless you have reset your PIN, it is your birth date. The proper way to enter your PIN is MMDDYY.
For example if you were born on May 3, 1967. You would enter your PIN as 050367.
Q. Why do I get invalid User ID or PIN message?
A. The most common reason for this message is that the PIN you entered does not match your PIN stored in Banner.
1) Are you entering your birthdate MMDDYY?
2) Have you changed your PIN from the default birthdate to something else?
3) Is your date-of-birth recorded in Banner/WebSMART incorrect? (Personnel Office)
If you have tried to enter your PIN 5 times and failed, your PIN may need to be reactivated. Contact your CTL to get your PIN reactivated.

Q. Can I change my PIN?
A. Yes. To change your PIN, log in to WebSMART and then select Personal Information. Select, "Change PIN". Enter your old PIN, then enter your new 6-digit (number) PIN. (Alphanumeric characters are not currently supported.)

Q. Will I still get an Official Class Record (green sheet) in my mail box?
A. Yes, approximately three weeks after the start of classes.
Census / Enrollment Verification
Q. Will I still get an enrollment verfication (bubble sheet) in my mailbox?
A. No, you will not. Log into WebSMART to do Weekly, Daily Census and Positive Attendance.

Q. What are the enrollment verfication census dates?

Q. Does it matter whether I drop a student before or on the Census date?
A. Students who never attended or who stopped attending prior to the Census Day need to be dropped through WebSmart before the Census date for Weekly Census classes. Make sure you drop the student prior to that date. If you drop students ON the Census Day – they will be counted as active enrollment for State Apportionment. Please drop inactive students before Census Day.
Q. How do I determine the date that a student drops?
A. The day you drop a student through WebSmart is the day that will be recorded as the drop date for the student. You cannot backdate a student’s drop. Skyline Census Reporting (doc file)
Web Grading
Q. Do I have to participate in WebSMART Grading?
A. At this time, all faculty must submit final grades using WebSMART.
Q. Can I submit grades from home or from a library?
A. Yes. WebSMART only requires an Internet-connected computer, with a Netscape 4.75+, Explorer 5.2+ or Safari (1.0 v.85.5) Java enabled browser.
Q. If the information about my course is incorrect what do I do?
A. Contact your Division Office. All the course information that is entered into WebSMART was put in from your Division Office.
Q. Why don't I have the option to assign grades to my students?
A. This could be one of two reasons.
1) You are not the primary instructor (instructor of record). To find out if you are the primary instructor you can select "Web Grade Entry Status Summary" from the "Faculty Services" menu. If you are not the instructor of record and believe you should be, please contact your Instruction Office.
2) Until the last day to submit grades, you may adjust or correct any grade.
3) Grades have already rolled. If under the rolled column you see a "Y" then the class grades have been officially moved to the student's transcripts. To make grade changes you will need to contact the A&R office.
Q. Why don't I have the option to assign CR/ NCR grades to my students? (Cañada and CSM)
A. Assign the grade the student has earned, then CR/NCR will be given to the student based on the grade you have submitted. A grade of 'C' or higher will result in the student receiving 'CR'. A grade of 'D' or lower will result in the student receiving 'NCR'.
Q. How do I give a student an Incomplete?
A. Select one of the IB, IC, ID, IF, INC options on the grade menu. Then, fill out an incomplete form and submit or mail it to your Admissions and Records office.

Q. Can I go back and change a grade after I submit the class grades?
A. You can continue to change and resubmit grades up until the final deadline. The cutoff date is posted in WebSMART "Web Grade Entry Status Summary" page.
Q. Will the students be able to see their scores immediately?
A. Yes, WebSMART will reflect whatever you have entered as their final grade. However, the grade will not be "rolled over" (available for them to pick up as a transcript.)
Q. Will I get a confirmation that my grades have been submitted correctly?
A. After you submit grades you can click on the "Course Grade Listing" link at the bottom of the page to see or print out the grades you have given for students in a particular class. However, you will not receive a confirmation by email or campus mail.
Q. Do I still need to turn in my green grade/attendance sheet? (Can I submit my Excel or Gradekeeper print out of scores instead?
A. Yes, you need to turn in your green grade/attendance sheet. However, you do not need to complete the sheet. You can staple your Excel or Gradekeeper printout to the green sheet. Make sure you sign all your grade records.
