ED POLICY COMMITTEE MEETING

MINUTES

1. Approval of minutes from March 4 meeting
The minutes were approved as presented.

2. Academic Adjustments Policy – Linda Van Sciver and Lynne Douglas
A committee of DSPS coordinators from the three campuses and 2 deans, took a year to draft the Academic Adjustments Policy.  The policy has gone through the shared governance approval process and was approved by the Board in October 2000.  However, the policy has not been reviewed to determine who should be responsible for developing a ‘course substitutions’ list.  It was hoped that the three colleges would develop practices that are consistent district wide.  Evelyn will take the recommendation for the development of a committee to work on ‘course substitution’ to Governing Council

In the meantime, the committee recommends that the ‘academic standard adjustment’ policy be included in the DSPS Handbook, Student Handbook and the Faculty Handbook.  Evelyn will speak with Barbara Christensen about having a link to the policy on the portal web page.

Linda Van Sciver distributed a draft of the ‘test proctoring’ policy for disabled students and asked Ed Policy members to review and forward any suggestions for revisions to her by May 6.

 3. Credit by Exam update - Evelyn

Credit by Exam sub-committee members include Connie Beringer, Tom Sullivan, Jennifer Hughes and Soodi Zamani.  They are charged with making clarification to the text for ‘Credit by Exam’ in the college catalog.

Jennifer distributed copies of a draft that the Ed Policy subcommittee put together and asked committee members to review and make suggestions.  She emphasized that the purpose of the draft is to clarify policy, not change policy.  Jennifer will make all recommended grammar changes to the draft and send via email to Evelyn to take to Governing Council.

Connie will work on getting the divisions to form sub-committees to identify courses that qualify for ‘credit by exam’.

4. Review and approve Signature Form
Action item for Academic Senate

The form was approved with revisions. The form will be used to document each new or revised educational policy. The Ed Policy Chair will be responsible for completing the form, routing for approval and signatures, and having the policy published in printed materials and electronic formats.

5. Appeals Policy for Student Grievances
Action item for Academic Senate

Rosemary wants to make clarifications regarding the Academic Senate President’s role in the grievance process.  She will meet with the VPI and will work with Evelyn to clean up the draft.  If possible, the revised draft will be sent to committee members for review prior to the May 6 meeting.

6. Review of Appeals Process Form
