ED POLICY COMMITTEE MEETING MINUTES
May 6, 2003

1. Approval of minutes from April 1st meeting
The minutes were approved as presented.

2. Academic Adjustments Policy for Disabled Students - Update
Evelyn reported that the Academic Senate Governing Council (ASGC) has approved the formation of a committee to identify a list of course substitutions and waivers. Evelyn will update EP on the members and progress of this committee next fall.

3. Credit by Exam update
Sub-committee – Jennifer & Soodi –
The group will meet on May 14 to review the draft that was shared at the EP meeting in April. The draft has gone through the Academic Sub-committee. The group will present recommendations to EP. Faculty are working in their departments to identity courses for credit-by-exam. District policy should adhere to the same policy in compliance to Title 5.
Char will send out a copy of Solano Community College’s credit by exam practices & fees.

4. Appeals Policy for Student Grievances
Review final draft and action item for Academic Senate – 5/9
A recommendation was made to include a time limit to file a grievance if such a limit exists in Rules and Regs. or in Ed Code. Jennifer will check into this. Additional changes to the draft were:
Level 2 – 2nd paragraph, strike "all parties must agree to this appeal process".
Level 3 – Change from ‘(10) days’ to ‘(10) business days’.
The draft was approved as amended. Evelyn will present the Policy to ASGC on Friday as an action item.

6. Review of Appeals Process Form

It was recommended that the ‘Appeals Process’ form be made available for student and faculty through the internet. In addition, records of submitted appeals forms should be centrally stored with the grievance officer with secure access given as appropriate.
Jennifer will make recommended changes to the form and the committee will finalize it in the fall.

7. Accomplishment of Goals for 02-03

Goals 1, 2, 4, 5, and 7 have been accomplished. There were no activities for goals 3 and 6. Evelyn will distribute a report of the committee’s activities and accomplishments for 02-03 to President White and ASGC. The report will be included in the "President’s Notebook", the Academic Senate President’s end of the year report and on the EP web page.
